Before placing a unit of a new model on the market, the supplier enters the information listed in Annex I into the public part and the compliance part of the product database (EPREL) (Article 4(1)). The public part covers supplier identification, the model identifier, the label in electronic format, the energy efficiency classes and other label parameters, and the parameters of the product information sheet; the compliance part covers the model identifiers of equivalent models and the technical documentation specified in Article 12(5). Where a product is changed in a way that is relevant to the label or the information sheet it counts as a new model and must be entered again; the end of placing on the market must be indicated in the database (Article 4(4)). After the last unit placed on the market, the information must be kept in the compliance part for 15 years (Article 4(6)). For models placed on the market exclusively before 1 August 2017 entry is voluntary (Article 4(3)); the duty does not apply to heater packages (Article 4(5)). The database matters indirectly to retail: a missing product information sheet may be printed or downloaded from it (Article 5(3)).

Vor dem Inverkehrbringen einer Einheit eines neuen Modells trägt der Lieferant die in Anhang I aufgeführten Informationen in den öffentlichen Teil und in den Konformitätsteil der Produktdatenbank (EPREL) ein (Artikel 4 Absatz 1). Der öffentliche Teil umfasst Angaben zum Lieferanten, die Modellkennung, das Etikett in elektronischem Format, die Energieeffizienzklassen und weitere Etikettenparameter sowie die Parameter des Produktdatenblatts; der Konformitätsteil umfasst die Modellkennungen gleichwertiger Modelle und die technischen Unterlagen nach Artikel 12 Absatz 5. Wird ein Produkt so geändert, dass Etikett oder Datenblatt betroffen sind, gilt es als neues Modell und ist neu einzutragen; das Ende des Inverkehrbringens ist in der Datenbank anzugeben (Artikel 4 Absatz 4). Nach der letzten in Verkehr gebrachten Einheit sind die Informationen 15 Jahre im Konformitätsteil aufzubewahren (Artikel 4 Absatz 6). Für Modelle, die ausschließlich vor dem 1. August 2017 in Verkehr gebracht wurden, ist die Eintragung freiwillig (Artikel 4 Absatz 3); für Verbundanlagen aus Heizgeräten gilt die Pflicht nicht (Artikel 4 Absatz 5). Für den Handel ist die Datenbank mittelbar wichtig: Aus ihr darf ein fehlendes Produktdatenblatt ausgedruckt oder heruntergeladen werden (Artikel 5 Absatz 3).
